Course Scheduling Calendar

The Course Scheduling Calendar provides important dates/steps for course scheduling. This is primarily used by the College Course Schedulers for the creation of yearly academic course offerings.

Step 1: INITIAL SCHEDULE

Communication from Academic Affairs Leadership Team/BOM Team to open scheduling process and identify guidelines for term

2/1/2024

Term Opened/Schedule rolled by Office of the Registrar. Dean's Office (BOM) sends schedule template to Academic Units with deadline for return to Dean's Office

2/5/2024 - 2/09/2024

Dean gives approved Course Offerings to the College Schedulers for processing

4/12/2024

First data pull by Office of the Registrar; Provost’s Office and Enrollment Management Review and Feedback to Deans

6/17/2024

Dean responds to Provost’s Office/EM Feedback; Dean coordinates with Unit Leaders/BOM to make changes, as needed

06/17/2024 - 07/05/2024

25Live Schedule Load/Classroom assignment (allow 2 weeks)

7/08/2024 - 7/19/2024

Step 2: COLLEGE SCHEDULE ADJUSTMENTS

Unit leaders review schedule with classrooms; Minor adjustments processed by BOM

7/22/2024 - 8/30/2024

Second data pull by Office of the Registrar; Second Provost's Office/Enrollment Management Review 

9/3/2024

Class Schedule on URSA

9/10/2024

Minor adjustments processed by BOM; Major adjustments approved by Dean in OnBase then processed by BOM

9/11/2024 - 11/10/2024

Step 3: OFFICE OF THE REGISTRAR ADJUSTMENTS ONLY

Student Registration begins

11/11/2024

Adjustments approved by Dean in OnBase then processed by Office of the Registrar. Major adjustments for emergencies only. [Workflow ends with Office of the Registrar.]

11/11/2024 - 5/9/2025

Classes begin

1/13/2025

Final Exam assignment run

1/27/2025 - 1/31/2025

  • DURING STEP 2: Class Schedule on URSA: Communications within OnBase Workflow to Academic Schedulers
  • DURING STEP 3: Registration Begins: Communications within OnBase Workflow to Academic Schedulers and Office of the Registrar

Minor Changes: Room Change; Instructor Change

  • DURING STEP 2: Class Schedule on URSA: Communications outside OnBase Workflow to Academic Schedulers
  • DURING STEP 3: Registration Begins: Communications within Department to Academic Schedulers

Routing

Routing: Unit Leader, Dean/Associate Dean, Scheduler, Office of the Registrar (when required)

In OnBase routing process, 1-week turnaround is reasonable.
